KCA Spring Meeting Cancellation

Kentucky Council on Archives Spring meeting in Louisville on May 14-15 has been cancelled due to the current global health crisis from COVID-19. The good news is that we hope to move the meeting topic, “Choose Your Own Adventure,” and the pre-conference OpenRefine workshop to our Fall 2020 meeting date. This will be contingent on several factors including our host institutions and the availability of our confirmed presenters.

Elections and Membership Cycle

Long standing members will know that the Spring meeting is an important time for KCA; our membership cycle starts anew, we elect new board members, and the board reports its fiscal standings to membership. The KCA Board is diligently working to organize a virtual election and business meeting, as board elections still need to take place in May. If you are a current KCA member, your membership will expire on April 30. In order to vote in elections (to be held the first week of May) and serve on the board, your membership must be in good standing. If you renew or become a new member between now and April 30, it will be applied to the next membership cycle that begins May 1. In the coming weeks, we will send another email with additional election and membership information.

Thanks goes out to all the Board members for their hard work and dedication these past few months planning and subsequently un-planning the meeting. Gratitude also extends to our scheduled presenters for their willingness to share their expertise with our community. And a thank you to our generous hosts, the Muhammad Ali Center and Bellarmine University. You will hear from us shortly regarding our slate of board nominees, membership renewal, and virtual election.

Spring 2019 KCA Newsletter Now Accepting Submissions

Spring 2019 is here! And the spring issue of “The Kentucky Archivist” will be published in April.

Please submit newsletter items to Jaime Marie Burton, KCA Newsletter Editor, on or before Thursday, April 11, 2019.

Do you have a short article you’d like to “get published” or have a book review of a recent archival text? Do you have a story to tell from your collection, or want to highlight the work of your students? We are happy to accept additional formats and creative ideas for the newsletter, as the digital format allows us to stretch word limits and pages without difficulty. Newsletter items can be just about any length (from just a few lines or up to 4 pages, i.e. as much as a usual magazine or newsletter tends to include); as a guideline 375 words with a 2×3 inch picture takes up about a whole page.

News and information items may include:

  • Write ups about new projects or funding received,
  • Press releases related to major acquisitions,
  • new staff or promotions announcements,
  • renovations,
  • newly available collections,
  • upcoming events and workshops,
  • recent publications,
  • job postings,
  • and more – be creative!

We encourage the inclusion of photographs and images with any submission, although depending on space, quantity, and formatting, not all images submitted may be included in the final newsletter.

Please take this opportunity to share your news, writing, expertise, and accomplishments with your colleagues!

The Philip M. Hamer and Elizabeth Hamer Kegan Award Subcommittee of the Society of American Archivists (SAA) seeks nominations for the 2018 award.

This Philip M. Hamer and Elizabeth Hamer Kegan Award recognizes an archivist, editor, group of individuals, or institution that has increased public awareness of a specific body of documents (which can be a specific archival collection or thematic aggregation) through compilation, transcription, exhibition, or public presentation of archives or manuscript materials for educational, instructional, or other public purpose. Work that has impact on a local, regional, national, and/or international level is welcomed.

Recent winners include:

  • 2017: Center for Home Movies
  • 2016: South Asian American Digital Archive
  • 2015: The Legacy Center, Drexel University College of Medicine, for Doctor or Doctress?
  • 2014: Emma Goldman Papers Project
  • 2013: Densho, The Japanese American Legacy Project

Eligibility:

Individual archivists and editors, groups of individuals, organizations. This award is open to nominees within and outside of the United States, and is not limited to SAA members.

Setting the Stage: Practical Approaches to Archival Exhibits

It is an exciting time of year for the KCA. We are heading towards our upcoming fall meeting on Friday, December 15, 2017. We will be traveling to the Loretto Community in Marion County, Kentucky, to talk about exhibit creation on a budget. It will be a wonderful time to connect and discuss ways to develop exhibits.

The program includes presentations by Matt Strandmark, entitled “Mission, Engagement, Design”, and Daniel Spalenka entitled “Preservation and Exhibits”. Additionally there will be a two part hands on exhibit activity led by Jaime Marie Burton. The program will end with a tour of the Loretto Heritage Center.

Society of Ohio Archivists Annual Meeting

Friday, May 18, 2018

To be held at the Quest Business and Conference Center, 8405 Pulsar Place, Columbus, OH 43240.

Deadline to submit proposals: Monday, January 8, 2018, 5 p.m.

The SOA 2018 Program Committee seeks a broad array of creative proposals, sessions and posters, related to archival work today and into the future. All proposal topics are welcome.

Possible ideas include, but are not limited to:

  • Presentations or discussions of longstanding institutional projects or collections in accordance with the ‘50 year anniversary’ theme
  • Tools for archival discovery, maintenance, and/or marketing
  • Outreach and instruction efforts
  • Student, intern, and volunteer experiences and projects
  • Unique collection development ventures
  • Preservation, description, and access to analog, born-digital, or hybrid collections

Session Formats

  • Panel Sessions – Two to four speakers present on a common theme.
  • Poster Presentations – Report in which information is summarized using brief written statements and graphic materials, such as photographs, charts, graphs, and/or diagrams mounted on poster board. Presenters will be assigned a specific time at which they must be with their poster to discuss it with attendees.
  • Debate – Moderator announces the topic, and two other people debate. May include more than one topic and additional debaters.
  • Fishbowl – Speakers sit in a circle of chairs on stage — the bowl—and the audience sits in concentric circles around them. The speakers are then asked to talk to each other by answering a series of directed questions. In an open fishbowl, one chair is left empty and audience members can rotate through, adding their take on the topic.
  • Lightning – Presentations may be from 3 to 10 minutes long, with the time allotted depending on the number of presenters. May or may not include slides or images.
  • Mini-Workshop – session teaching a skill or concept through hands-on activity.
  • Pecha Kucha – Each presentation consists of 20 slides or images displayed for 20 seconds each, with comment. Each presentation lasts 6 minutes and 40 seconds.
  • World Café – consists of multiple presentations/conversations going on at separate tables, with attendees given the opportunity to rotate between them every 20 minutes.
  • Other session formats that encourage interaction between presenters and attendees

All sessions will have an assigned member of the Program Committee to provide introductions, and, as needed, to moderate.

Proposal requirements

  • Session title and intended format
  • 250-word abstract describing the session/poster and how it will be of interest to SOA attendees
  • 150-words session description for use in the printed program
  • Main contact’s information and any other participants
  • A/V or technology requirements
  • Any additional special needs

Proposals will be evaluated on clarity, originality, diversity of content and speaker representation, and completeness of proposal and presenters. We encourage proposals from students*, new professionals*, first time presenters and attendees, as well as individuals from related professions, including those from outside of Ohio.

The Learning Lab is a center of primary source research, experiential learning, and professional skills training. AV Archives Night 2015 Call for Submissions

After the great success of our First Annual AV Archives Night at SAA 2014 we’re excited to be planning our 2nd First Annual AV Archives Night party to take place (likely) August 19th during SAA 2015 in Cleveland. We learned a lot from our first go round, so this year promises to be much improved and just as fun. And to those of you who requested, depending on the venue there may be free refreshments.

We’re in the process of locking down an event space for the night, but it’s a good time to start gathering submissions and putting together the program, so here’s the official call for submissions.

AV Archives Night 2015

AVPreserve is requesting submissions of video and audio content from archives in Ohio, Kentucky, West Virginia, and western Pennsylvania. There are no limitations on the types of content, but the preference is for material that is local or regional in nature in order to help celebrate the culture and history of the region near the conference, and to celebrate the work that archivists do to preserve our audiovisual heritage.

Submissions must be available in a digital format that is suitable for projection or playback over a sound system. Digitized or born digital content is accepted. A low resolution version is sufficient for submission in order to review and plan the programming. Content should be a maximum of about 7 minutes. Multiple submissions are acceptable, but the grand total of running time should be a maximum of about 7 minutes. Submissions should include your name, the name of your institution as it should be printed in the program, the title of the piece, the creator, the year of the piece, the original format, and a short description if available.

The contributing archive must have the rights to present the material and is responsible for confirming those rights. AVPreserve will delete or return all copies of materials provided per the request of the contributing archive. AVPreserve will claim no rights or ownership over any material or use it for any purposes outside of projection at this one time event. This will be a free event, and one does not need to be registered for SAA to attend.

KCA Fund Award Call for Applications

Applications are now being accepted for the 2015 KCA Fund Award ($500 maximum).

The Kentucky Council on Archives (KCA) accepts letters of requests for financial support of external projects from other archival organizations and individuals. For example, previous financial support has been granted to projects managed by the State Historical Records Advisory Board’s Kentucky Archives Month Committee and the Local Arrangements Committee for the Midwest Archives Conference. KCA is particularly interested in funding community-wide professional development (i.e. workshops, training), archives advocacy initiatives, and archival outreach opportunities.

Requests are evaluated on their potential contribution and quantifiable benefits to the Kentucky archival community, notably their impact on the broad and diverse membership of the Kentucky Council on Archives. Funds are not available for individuals to offset personal costs incurred through workshop and training attendance, or for travel requests and conference registration.

To effectively evaluate letters of request, all submissions must:

  • Specify the amount of funding requested.
  • Describe the organization and/or individual submitting the request and its history, mission, values, and programs.
  • Describe the intended use of KCA funding, including project elements and location.
  • Describe the intended audience of KCA funding.
  • Describe the anticipated outcomes of KCA funding.
  • Upon completion of the project or event, submit a brief report to KCA describing the use of the funding and the outcomes.

Funding available for these requests is dependent on KCA’s annual budget. The total annual disbursement will not exceed 35% of total dues received from members during the previous calendar year. Note, the KCA Board retains the right to not grant monies during a funding cycle. Groups and individuals may apply in consecutive cycles for funding. For 2015, the fund available is $500.00. Sister M. Claude Lane, O.P., Memorial Award

The Society of American Archivists’ Awards Committee is seeking nominations for the Sister M. Claude Lane, O.P., Memorial Award. This award recognizes individuals who have made a significant contribution to the field of religious archives. Criteria for nomination include:

  • Involvement and work in the Archivists of Religious Collections Section (ARCS) of the Society of American Archivists.
  • Contributions to archival literature that relates to religious archives.
  • Participation and leadership in religious archives organizations.
  • Evidence of leadership in specific religious archives.

Only individual archivists are eligible for nomination. The award is sponsored by the Society of Southwest Archivists, in conjunction with Society of American Archivists. It is named in honor of Sister M. Claude Lane, the first professionally trained archivist at the Catholic Archives of Texas in Austin, who served there from 1960 until her death in 1974. The award finalist is recognized with a certificate from SAA and a $300 cash prize provided by the Society of Southwest Archivists at the annual Society of American Archivists meeting.

Position Summary:

Project Management 101: Planning Your Project

February 5 and 19 (1 hour each afternoon)

11 am PST / 2 pm EST

Join your colleagues from archives, libraries, and museums for a two-part, interactive learning webinar that will introduce the fundamentals of project management: planning a project. All of our fields struggle with unstable budgets and dynamic technology, so learning to think and act in terms of projects is critical—it can be the difference between turning an idea into a successful, resourced initiative or not. Led by representatives from the Institute of Museum and Library Services, the webinars will focus on the key elements of a project plan: the idea, the audiences, funding options, a work plan, an evaluation, and more. We will also discuss how to critically examine your project ideas, asking, Is it fundable? Valuable? Sustainable? And if not, what could you do differently? While learning these fundamentals, you will also benefit from the insights and experiences shared by your fellow participants from across archives, library, and museum institutions.

February 5 Key Elements of a Project Plan (1 hour)

This session will describe how careful planning leads to more successful projects.. We will cover how to develop an idea, define your audience, look at funding options, do an environmental scan, assess your resource capacity and needs, and develop a project scope and schedule for implementation. Attendees will be invited to use the two weeks between webinars to outline a project idea based on these key principles. Submitted project plans will be reviewed by webinar moderators with individual feedback provided for each submission.

In this highly interactive second session, we will use sample project ideas and case studies to look at how we can assess the strength of a project plan before it is implemented. We will also discuss other project management resources and where to learn more about the topic.

The Philip M. Hamer and Elizabeth Hamer Kegan Award Subcommittee of the Society of American Archivists seeks nominations for the 2015 award.

This award recognizes an archivist, editor, group of individuals, or institution that has increased public awareness of a specific body of documents through compilation, transcription, exhibition, or public presentation of archives or manuscript materials for educational, instructional, or other public purpose. Archives may include photographs, films, and visual archives. Publication may be in hard copy, microfilm, digital, or other circulating medium.

SAA Mosaic Scholarship Announcement

The application period for the Society of American Archivists’ (SAA) Mosaic Scholarship is currently open, with a deadline of February 28, 2015.

The Mosaic Scholarship was established to provide financial and mentoring support to minority students pursuing graduate education in archival science, to encourage students to pursue careers in archives, and to promote the diversification of the American archival profession. The award is given to applicants who demonstrate excellent potential for scholastic and personal achievement and who manifest a commitment both to the archival profession and to advancing diversity concerns within it.

Up to two scholarships of $5,000 each will be awarded. In addition, each scholarship recipient receives a one-year complimentary membership to SAA and complementary registration to the Society’s Annual Meeting.

J. Franklin Jameson Archival Advocacy Award

The J. Franklin Jameson Archival Advocacy Award Subcommittee of the Society of American Archivists seeks nominations for the 2014 award.

Established in 1989, this award honors an individual, institution, or organization that promotes greater public awareness, appreciation, or support of archival activities or programs. SAA Applications for 2015 Harold T. Pinkett Minority Student Travel Award now open!

The Pinkett Award was established in 1993 and recognizes and acknowledges minority graduate students, such as those of African, Asian, Latino or Native American descent, who, through scholastic and personal achievement, manifest an interest in becoming professional archivists and active members of the Society of American Archivists.
The recipients of the award will receive full complimentary registration to the SAA Annual Meeting and related expenses for hotel and travel for attending the Annual Meeting of the Society of American Archivists on August 16-22, 2015 in Cleveland, Ohio. In addition, each recipient receives a complimentary one-year membership in SAA.

Eligibility: The Pinkett is awarded to minority students, with preference given to full-time students possessing a minimum scholastic grade point average of 3.5 while enrolled in a graduate program focusing on archival management during the academic year proceeding the date on which the award is given.

Public input sought for state’s long-term historic preservation plan

FRANKFORT, Ky. – Public input is being requested for a new five-year strategic plan outlining goals and objectives for helping preserve historic buildings and other sites in the Commonwealth through 2020.

The Kentucky Heritage Council/State Historic Preservation Office (KHC) has set up an online survey and will also be arranging a series of public meetings and networking opportunities during the first quarter of 2015. The goal is to gather feedback and creative ideas from a broad range of constituents, to help address issues such as how to approach neighborhood preservation more effectively, stem demolition by neglect, and foster greater understanding of the benefits of – and a stronger public commitment toward – the preservation and reuse of old buildings.

The survey takes five minutes to complete, at https://www.surveymonkey.com/s/KYpreservationplan, and the agency is particularly interested in hearing from individuals who do not think of themselves as “historic preservationists.”

Once completed in early 2016, the plan is intended to serve as a tool for use by individuals, nonprofits and local governments interested in applying the strategies to local issues.

“A state plan will only be successful if it truly reflects what the needs are, and how the public can respond in a proactive way to preserve historic places that have meaning and significance,” said Craig Potts, KHC executive director and state historic preservation officer.

“Historic preservation is about much more than old buildings,” said Vicki Birenberg, KHC planning coordinator, who is overseeing plan development. “Preservation provides many beneficial opportunities – to feel connected to the history and identity of our communities, for economic revitalization and placemaking, for strengthening social connections, and to reuse existing structures to conserve scarce resources. We want to use this as an opportunity to demonstrate how preserving historic buildings and the historic fabric of our communities is becoming increasingly relevant to each of our lives.”

Historic downtowns and older neighborhoods are being re-energized as a result of the renewed interest in walkability and the enhanced quality of life that comes with the freedom from driving, Birenberg said. This is supported by national trends showing that downtown and urban settings are becoming more desirable as places to live, while suburban areas “are scrambling to address the lack of pedestrian infrastructure and proximity between destinations,” she said.

New tools such as “Walk Score”® ratings have shown that higher walkability scores translate into higher real estate values, while traditional older neighborhoods designed with sidewalks, front porches and similar amenities to promote connectivity and social interaction are being replicated in developments utilizing new urbanist neighborhood design principles.

Call for Poster Presentations: MAC in the Bluegrass State

The Midwest Archives Conference will convene for its Annual Meeting May 6-9, 2015, in the great Commonwealth of Kentucky—Lexington, to be exact. This lively city, known for champion racehorses, bourbon, and history dating to 1775, will be the backdrop for an exciting conference!

Poster Proposals

The 2015 Program Committee invites poster proposal submissions on all aspects of archival practice and research, as well as from allied and related fields. Submissions are welcome from students as well as new professionals.

Proposal Evaluation

The Program Committee will evaluate all proposals submitted by the deadline. Proposals will be evaluated in two ways:

  • Merit and clarity of the 250-word abstract; and
  • Completeness of the proposal, particularly having well-developed content to understand all relevant aspects of the topic.

Individuals with proposals chosen for inclusion in the MAC 2015 Annual Meeting will be notified in February 2015.

The Director has administrative responsibility for archival, rare book and general research services both within the Breckinridge Research Room and virtually.

• Reports to the Associate Dean for the SCRC

• Serves on the SCRC management group that collaboratively administers the Breckinridge Research Room, the Louie B. Nunn Center for Oral History, the Wendell H. Ford Public Policy Research Center, the King Library Press, the Digital Lab, and the University Archives and Records Program

• Develops long term planning and policies for providing access to rare books and archival materials

• Leads a team of 6-7 full-time employees comprising archival collections management, rare books, research services, undergraduate research, and the King Library Press

• Manages budget allocations including a student budget

• Works collaboratively across SCRC to implement and advance strategic planning and shared goals

• Recommends priorities for collection development, management, preservation, and access

• Maintains and augments the book collection including the Americana Collection, the Peal collection of British and American literature, printing history and rare book arts, Cortot, Mexicana, and others

• Administers the King Library Press, which preserves a tradition of fine printing and produces books and broadsides

• Pursues grants or other funding opportunities to further the goals of the SCRC

• Participates in UK Libraries-wide faculty responsibilities, works effectively in a shared decision-making environment

• Actively participates in state, regional, and national professional organizations and activities

• Oversees building systems for the SCRC in the Margaret I. King Library
